Polylog Consulting Group has successfully completed the project related to preparation and holding of the first Eastern Economic Forum (EEF), which was held on the campus of the Far Eastern Federal University on Russky Island in Vladivostok, September 3-5, 2015.
Polylog Consulting Group acted as the technical operator of the forum and was responsible for the following tasks: development of the event venue, accreditation of mass media and participants, interaction with speakers and guests of the forum, creation and maintenance of the website, security, catering, subcontractor management and interaction with journalists at the event venue.
Polylog also designed and created the international Media Center for mass media, ensured intense interaction of the forum's speakers with journalists, and organized activities of the mobile Press Center during the forum.
100 days before the forum
The decision to involve Polylog Consulting Group in the organization of the first Eastern Economic Forum was made on 30 May 2015 following the open tender, where 14 leading specialized companies participated. Polylog Consulting Group's bid was recognized as best meeting the requirements of the tender organizer due to an elaborate business offer and significant experience in holding large-scale events at the international level.
The first Eastern Economic Forum was prepared in a very short time: the order of the President of the Russian Federation on the holding of Eastern Economic Forum was signed at the end of May 2015, a mere 3 months before the date of the event. At this time, the schedules of key investors and business representatives had already been made, and convincing them to visit this event became one of the biggest challenges for organizers.
The organizers were expecting around 1,000 participants and media representatives, and, in fact, as many as 2,500 people arrived from 32 countries. In addition to numerous anticipated guests from China, South Korea and Japan, the EEF also received official delegations from the US, Canada, Great Britain, Germany, France, Switzerland, Belgium, Holland, the UAE and other countries.
Wang Yang, Deputy Prime Minister of the State Council of the People's Republic of China, Sok An, Deputy Prime Minister of the Office of the Council of Ministers of Cambodia, Yoon Sang-jick, Minister of Trade, Industry and Energy of the Republic of Korea, Ri Ryong Nam, Minister of Foreign Trade of the Democratic People's Republic of Korea, Vu Huy Hoang, Minister of Industry and Trade of Vietnam, Kasai Tatsuhiko, Consul General of Japan, Lee Sok Pae, Consul General of the Republic of Korea, Brahma Karjee Rupjyoti, Consul General of India, Djauhari Oratmangun, Ambassador of Indonesia, Im Jong-il, Consul General of the Democratic People's Republic of Korea, and other top-ranking guests took part in the forum.
EEF's central event was its Official Opening with the participation of President of the Russian Federation Vladimir Vladimirovich Putin, which was broadcast online by the Russia 24 TV channel.
The business program of the forum featured 78 events, including the plenary session, key sessions, industry-specific dialogs and presentations. In addition to these, 97 ceremonies for signing agreements were organized with the participation of mass media in the course of EEF.
419 volunteers, 60 translators, 1,000 special security officers
Eastern Economic Forum was assisted by 419 volunteers who helped the guests of EEF in the territory of the FEFU, at hotels and in the airport 8-12 hours every day.
Key business events of the forum were translated into 5 languages: English, Chinese, Korean, Japanese, and Russian. Thirty simultaneous interpreters of the highest level were specially invited to Vladivostok to assist in the forum's activities. Another 30 consecutive translators helped the guests of EEF communicate with each other and with mass media representatives on the sidelines of the forum.
Security for forum participants was ensured by 1,000 special security officers. The challenge faced by the organizers was that the academic process didn't stop on campus during the event, and there were 8,000 students and faculty of the FEFU on campus in addition to participants of the forum.
The following corporations acted as the Forum's title partners: Alrosa, Mazda Motor Rus, Vneshekonombank, Gazprom, Norilsk Nickel, Polyus, Rosneft Oil and Gas Company, Federal Hydro-Generating Company RusHydro, and Fesco transportation group. Special stands were constructed in the business area in order to make the work, communication, and negotiations of the representatives of partner organizations comfortable.
In addition to business activities, EEF also featured a cultural program. Forum participants had an opportunity to visit the international master competition "Battle of the Champions 8," with the participation of Steven Seagal; Mariinsky Theater Gala Concert under the direction of art director Valery Gergiev, the People's Artist of Russia and the Chief Conductor of London Symphony Orchestra, held in the Primorsky Opera and Ballet Theater; participate in the boat tour on board the operational three-masted boat Nadezhda; observe "Peter the Great Bay Bowl" sailing races and the "Cruiser" theatrical performance. The most demanding guests had an opportunity to join the sightseeing tour onboard a helicopter.
Eastern Economic Forum was closed with an air performance of "Space Odyssey" held in the Ajax Bay and featuring the Russian "dream team" – the eight best athletes on flyboards, hoverboards and Jetlev packs, which will be long remembered by both forum participants and the residents of Vladivostok.
More than 25,000 publications in mass media
The forum's activities were covered by 550 journalists from 120 leading Russian and 40 foreign mass media. More than 25,000 publications, comments, and interviews were initiated during preparation and holding of the EEF, including those in Rossiyskaya Gazeta, RBC, Kommersant, Sputnik, Forbes, Izvestiya, Reuters, ITAR-TASS, Interfax, Prime, Gazeta.ru, Lenta.ru, YonHapAgency, Xinhua News Agency, Bloomberg, the French newspaper "Les Echos," the Japanese periodical "The Tokyo Shimbun," and so on.
The Russia 24 TV channel organized a live broadcast of EEF's Plenary Session. The forum's activities were regularly covered by such TV channels as Russia Today, Channel One, REN TV, NTV, Phoenix TV, First Television of Austria, Chinese Central Television, OTV, Sapporo Japan, Vietnamese Television, Life News, Fuji, NHK, and others.
During September 2-5, mass media representatives used the Press Center, which could accommodate 500 people and worked 24/7. Journalists were provided 120 workplaces with PCs, 10 field TV booths, and 3 working booths for radio stations.
Thirteen guest zones and a mobile TV studio of the Russia 24 TV channel were set up for the forum's information partners in the business area facility.
Results: 109 deals, 1.8 trillion rubles in total
The three days of the forum resulted in 109 investment agreements worth 1.8 trillion rubles in total.
